How to autofill a job application, step by step

Autofill only saves time if the data behind it is right. A few minutes of setup once means every form afterwards takes a single click plus a quick review.

1. Fill in your profile once. In your dashboard, upload your resume and complete the "Application details used by the extension" card: years of experience, expected salary (yearly), notice period, whether you are legally authorized to work, whether you need visa sponsorship, willingness to relocate, postal code. US and Canadian forms ask these again and again, and they sync to the extension when you click Save.
2. Save your resume file in the extension popup. That PDF is the one the extension attaches to the résumé field of a form. It attaches it once per page, never into a cover-letter, photo or transcript field.
3. Open the application form on the employer's site (Workday, Greenhouse, Lever, iCIMS, a company career page…) and sign in first if the site asks you to create an account.
4. Click "Autofill this form" in the extension popup. The popup tells you how many fields it filled and how many open questions are left for you.
5. On multi-page forms, click Autofill again on each page. Workday, Taleo and iCIMS split an application into several steps; each new step is a new form.
6. Review, then click Submit yourself. Outside LinkedIn Easy Apply the extension never submits. Click "Track this job" in the popup and the application lands in your job application tracker.

How autofill behaves on Workday, Greenhouse, Lever and other ATS portals

Every applicant tracking system builds its forms differently. Here is what to expect on the portals US and Canadian employers use most, and what is worth a second look before you submit.

"Workday autofill with resume" not working? Why it happens

Workday's own "Autofill with Resume" button is a parser: it reads your uploaded PDF and guesses which line is a job title, a company or a date. Two-column layouts, tables, icons and unusual date formats confuse it, so experience rows come out merged, split or with the wrong dates. Two fixes: upload a single-column, text-based PDF (check it with the free ATS score checker), or choose "Apply Manually" and let the extension fill the fields from your structured profile instead of a re-parsed file. What to review before you click Submit

Autofill gets the repetitive part right; a 30-second review catches the rest. Our checklist:

• Work authorization and sponsorship for that country. "Are you legally authorized to work in the United States?" and "…in Canada?" are different questions. If you apply across the border, make sure the saved answer matches the country of the job.
• Salary. Your saved expected salary is a yearly figure. If the form asks for an hourly rate or a different currency (USD vs CAD), adjust it. Our salary calculator converts between yearly and hourly.
• Dates and current role. Check that your current job is marked as current and that start dates match your resume. Mismatches are the first thing a recruiter notices.
• The resume attached. If you made a tailored resume for this job, upload that version instead of your default file.
• Open questions. On the free plan, the popup tells you how many are left. On Premium, read the AI answer and edit anything that does not sound like you.
• Voluntary self-identification (EEO). Questions about gender, race or ethnicity, veteran status, disability and accommodation requests are never answered by autofill. Answer them or pick "I don't wish to answer"; it is your call.
• Consent boxes. Marketing, newsletter, SMS and "talent community" opt-ins are left unticked unless the form cannot be submitted without them. Arbitration, background-check, credit-check or drug-test consents are never ticked automatically: read them and decide.

Autofill missed some fields? Common causes and fixes

• The form loaded after you opened the popup. Some career sites build the form in several passes. Wait until the whole form is visible, then click Autofill again.
• Fields appear only after an answer. Conditional questions ("If yes, which visa?") show up after the first answer. A second Autofill click fills the new fields; your resume is not attached twice.
• The value is not in your profile. Autofill cannot invent a postal code or a notice period. Add it once in your application details and it is used everywhere after that.
• You changed your details on the dashboard. Click Save there: the update is sent to the extension. Application details you edit in the popup (years, salary, notice period, authorization…) sync back to your account too.
• You are signed out. The extension uses the account you last signed in with on autoapplymax.com in that Chrome profile. Sign in again if the popup shows no plan.
• A truly custom widget. Some sites use drag-and-drop or canvas-based inputs no extension can fill. Type those by hand and send us the URL.

Privacy: where your autofill data lives

Your profile is stored in your AutoApplyMax account. To fill forms quickly, the extension keeps a working copy in Chrome's extension storage: profile and application details in Chrome's synced extension storage (so they follow your Chrome sign-in), and the resume file you saved in the popup locally in that browser. Autofill fills the fields right in your browser. With Premium, only the screening question and the relevant parts of your profile go to our AI provider to write the answer.
