Administrative, HR & Legal Resume Examples & Templates for 2026

Office, people and legal support roles keep an organization running, and the hiring managers who fill them look for reliability above everything else. They want proof that you can juggle calendars, protect confidential information, follow procedure and stay courteous under pressure. The systems you know matter too, because a new assistant, HR generalist or paralegal is expected to be productive quickly.

The samples here cover administrative and executive support, human resources and recruiting, and paralegal work. Each role page shows an entry-level, experienced and senior version of the job and explains how to present scheduling and travel duties, HRIS and applicant tracking platforms, credentials such as the SHRM-CP, PHR or CHRP, and paralegal certificates recognized in the US and Canada.

How to write an administrative, HR or legal resume that signals reliability

Assistants: show who you supported and what you handled

The value of an administrative role depends on whose work you made easier. Name the level of the people you supported, such as a department of engineers, a chief financial officer or a group of partners, and the range of tasks you owned. Then pick bullets that show judgment, not just activity: rebuilding a filing system, cutting the back-and-forth on meeting scheduling, organizing an offsite or managing a budget for office supplies.

Executive assistants supporting senior leaders can go further by describing the trust placed in them: screening requests on the executive's behalf, drafting correspondence in their voice, tracking follow-ups from leadership meetings or acting as the point of contact for the board. These details separate a strategic assistant from a general office role.

HR generalists: cover the whole employee lifecycle

Generalist roles span onboarding, benefits, payroll coordination, employee relations, policy, leave administration and offboarding. Show the size and type of workforce you supported in words or with your own figures, the jurisdictions involved, and the work you led rather than assisted. Name your HRIS clearly, since employers filter on it: Workday, ADP Workforce Now, UKG, BambooHR, SAP SuccessFactors or Ceridian Dayforce. Mention employment law familiarity where relevant, such as FMLA in the US or provincial employment standards in Canada.

Recruiters: describe your desk honestly

Recruiting managers want to know the kind of requisitions you filled, not a generic claim about finding talent. Explain whether you worked agency or in-house, the roles and levels you recruited for, the regions covered, and the sourcing methods you used. Name your applicant tracking system and sourcing tools, such as Greenhouse, Lever, iCIMS, Workday Recruiting and LinkedIn Recruiter. If you report time to fill or offer acceptance, use only results you tracked yourself, and keep candidate names confidential.

Credentials for HR and recruiting

In the US, the main professional credentials are the SHRM-CP and SHRM-SCP from the Society for Human Resource Management and the PHR or SPHR from HRCI. In Canada, the CPHR designation is granted by provincial associations across most of the country, and Ontario uses the CHRP and CHRL through the HRPA. Recruiters may add sourcing or talent acquisition certificates. List the credential, issuer and year, and say "in progress" with an expected date when you are still studying.

Paralegals: practice areas, tools and certificates

Law firms and legal departments hire paralegals by practice area, so state yours early: litigation, corporate, real estate, family, immigration, intellectual property or employment. Under each role, describe the matters you supported in general terms, the documents you drafted, and your work with discovery, e-filing, closing binders or court deadlines. Name your software, including Clio, iManage, NetDocuments, Relativity, Westlaw and Lexis. Add a paralegal certificate, the NALA Certified Paralegal or NFPA credential in the US, and note that paralegals in Ontario are licensed by the Law Society of Ontario.

Confidentiality, format and tailoring

Every role in this group handles private information, so your resume should model discretion: no client names from legal files, no employee details, no internal figures you were not allowed to share. Keep the layout in one column with standard headings, and leave off photos, age and marital status for US and Canadian employers. The AutoApplyMax builder tailors your own resume to a job description you paste in, and the free ATS checker flags the posting keywords that are absent from your draft.

FAQ

What skills should an executive assistant resume highlight?

Focus on calendar and inbox management for senior leaders, complex travel, meeting and board preparation, confidentiality, and the ability to anticipate needs. Name the tools you use daily, such as Microsoft 365, Google Workspace and expense platforms. Show the level of the executives you supported and one or two examples where your judgment saved them time.

Should I list SHRM-CP or CHRP on my HR resume?

Yes, if you hold it or are actively studying for it. Write the full credential with the issuing body, such as SHRM-CP from SHRM, PHR from HRCI, or CPHR and CHRP from the provincial association, and the year earned. Place it in the header after your name for HR roles, and again in a certifications section.

How do recruiters show results on a resume without inflating them?

Describe your desk first: agency or in-house, the roles and levels you hired for, and regions covered. Then share outcomes you personally tracked, such as hires made in a period or programs you built, and describe the rest in words. Avoid figures you cannot back up, since hiring managers in recruiting often check them in references.

Do paralegals need a certificate to get hired?

Requirements vary. Many US employers prefer a paralegal certificate or degree, and some ask for a national credential such as the NALA Certified Paralegal. In Ontario, paralegals who provide legal services to the public must be licensed by the Law Society of Ontario. List whatever you hold with the issuing school or body and the year.

Are these administrative, HR and legal resume examples free to use?

Yes. All samples are free to read and adapt, and the people, employers and law firms featured are fictional. Replace every detail with your own experience, systems and credentials. To build your version in one of these templates, upload your resume to the AutoApplyMax builder and paste the job description you are targeting.
